Kevin, Staff,

One suggestion to avoid what I can only imagine is a frustrating experience for
you: taking the time to get to a call that no-one attends.

When you send out a Doodle, you should make it clear that if people can't make
the call they shouldn't fill out the Doodle at all. That is what I have started
doing in recent weeks when I cannot make a call, in the hope that Staff members
organizing the call can then know not to expect me. If everyone does the same,
the call can be cancelled ahead of time. But if people get constant Doodle
reminders where that proviso is not clearly stated, they feel obliged to fill
in even though they have no intention of making the call. That then means that
Staff see that several team members have responded and even though the time
that is finally chosen for the call may not be the time that some members
wanted, there is a natural assumption by Staff that team members will still be
present for the call...

There is a mounting problem of volunteer burn-out with the number of calls that
are being scheduled at the moment frankly verging on the ridiculous. I am not
surprised that we now get into situations where calls are not only poorly
attended, they are not attended at all. I am copying the GNSO Council leaders
here because I feel this is a mounting problem for the GNSO as a whole, not
just for the travel DT. I am hoping that suggestions like this one can help us
all deal with this situation.

Stéphane
