Dear Colleagues,

Please see below the rules and proposed time frame for NPOC elections, with
specific questions. As stated on the call we are currently a bit off
schedule compared to last year.

Thank you for your review.

2013 - NPOC Elections
The following are the next steps for the call of Executive Committee
elections:

1. The Communications Committee to send out the Notice of Election and
Request for Nominations on the NPOC website for at least sixty (60) days
prior to an upcoming election. The notice shall include the opening date of
the official vote.(Section 8 Elections, NPOC Petition and Charter). The
previous Executive Committee elections closed on 20 March 2012 so we are a
little behind schedule.

2. All candidates for elected office must meet the qualifications of the
office position they seek as defined in Section 2.2, NPOC Petition and
Charter. Also Candidates must request formal nomination from the Membership
Committee by submitting a completed Request for Nomination form. I am not
sure if the Request for Nomination Form already exists, can staff confirm?

3. The Membership Committee shall review the completed Request for
Nomination forms and notify candidates of formal acceptance no less than
thirty (30) calendar days in advance of the official vote. No position
shall have more than four (4) candidates. In the event more than four (4)
individuals request nomination the EC shall review and vote on the final
four (4) candidates. Additionally the Membership Committee must determine
the active voting status of Members; and upon receipt from the EC of a
notice of an upcoming election, confirm the identity and status of
Constituency Members eligible to vote and run for office at least forty
(40) days prior to the beginning of such election (Section 4 NPOC Petition
and Charter).

4. Once the candidates have been formally accepted, the voting process
detailed in Section 9.0 of the NPOC Petition and Charter will commence (10%
of membership being at least 10 members to be quorate and 51% of the vote
to indicate a win).
Are their any guidelines for the length of the election? should it be one
week be sufficient for voting?

Given the current time frame, I propose the

   - notification be sent out on Friday 22 February,
   - candidates will submit the completed Request for Nomination Form by
Friday 8 March (14 days after notification sent),
   - with the Membership Committee vetting the list of members who can vote
and eligibility of candidates with written notifications of membership
status by Thursday 14 March (20 days after notification sent).
   - Membership Committee to send and formal acceptance of candidates by
Sunday 24 March (30 days after notification sent)
   - Elections held on Wednesday 24 April to Thursday 9 May 2013. (election
period of 2 weeks- 1 week may be sufficient, election start 61 days after
   notification sent)
   - Election results announced on Friday 10 May 2013.
