FYI, I have just sent the attached email to the EURALO mailing list.
Although this started as an European event, I believe that since also ALAC
people outside Europe are going to be in Athens, it might be worthed to see
if there is the possibility to do something as ALAC.
For instance, we can present in a poster the status of the RALOs formation,
the LAC folks could present what has been done in their region, etc.
As I am not sure on who is on which list, I added some explicit cc.

Good morning.
 
I just got the news that the hotels in Athens are starting to be full. The
one where the IGF takes place is already, by the way.
I think that it is of the upmost urgency, as I have already argued in
Berlin, that we set up dates and agenda, otherwise we will never get the
approval for the trip by ICANN.
If I remember correctly, we had rough consensus on half day presentation and
inauguration of EURALO ideally on the first day of the IGF (which assumes
that we will have the bylaws agreed and voted upon by then), some outreach
activity all along (I assume with some to-be-defined initiatives), and a
one-day EURALO meeting to focus on pending issues at any time we can get a
meeting room (and the assumption is that people will come to this meeting
diserting the main IGF meeting, on which, to be honest, I have serious
doubts).
So what we need with absolute priority is:

*       the date of the inauguration meeting 

*       the date of the EURALO operational meeting 

*       an outreach plan 

*       an overall agenda 

*       a commitment signed in blood that people will attend the EURALO
meeting even if this conflicts with interesting subjects going on in the
main thread (otherwise we simply drop the idea of the EURALO meeting)

>From my part I am checking what is the situation with ICANN, ans see if we
can coordinate the outreach activity with ICANN external relations.
I believe that for the selection of dates we were waiting from an answer by
Markus Kummer.
The rest is up to us to do.
