Dear colleagues:

 

First, thank you for volunteering your time for the OSC Communications
and Coordination Team (CCT).  I've had the privilege of meeting several
of you already and am looking forward to meeting the rest of you in
Mexico City, and to working together on this part of the GNSO's reform
effort.

 

I'm not a fan of long e-mails, but this one may be necessarily so as I
want to give you some early information about our work team and get
ourselves set up for beginning our work in Mexico City.

 

To that end:

 

Orientation call

ICANN has thoughtfully arranged for an orientation call prior to our
first meeting.  You should have received an e-mail from Glen de Saint
Gery (if not, I'm attaching it here) noting the two available times: 

 

*       Tuesday, 24 February at 6:00 UTC
*       Tuesday, 24 February at 17:00 UTC

 

Please note this two different meeting times, but each will cover the
same content.  You don't have to attend both - just pick the one that
fits your schedule best.  The call is designed to get us all oriented to
the work in advance so we can have the administrative work/questions out
of the way by the time we meet in Mexico City.  Here's the briefing

2.     Five Main Areas of Improvement     
3.     New GNSO Council Organization     
4.     Steering Committee and Work Team Organization

First meeting in Mexico City

I've arranged for us to meet as a group on Sunday, 1 March from 11:30 to
13:00.  We'll meet in Don Diego 4 at the venue hotel.  

 

If you're not planning to be in Mexico City that day, or at all, remote
participation will be available.  Glen (copied on this e-mail) will
provide call-in details shortly.

 

Agenda for first meeting

Here's my suggestion for an agenda next Sunday.  If anyone has additions
or suggestions, I'm all ears.

 

1.       Call to order and introductions

2.       Review agenda

3.       Review and discussion of CCT charter (delineation of current
problems, desired outcomes, deliverables and timelines)

4.       Timeline for interim CCT chair and procedures for selecting
permanent chair; select vice-chair

5.       Procedures for finalizing CCT charter, including proposed
timeline.

6.       Agree to regular teleconference meeting times

7.       All other business 

 

CCT objectives

The overall objective of the team consists of the following two points:

*       Improve communications within the GNSO
*       Improve communications between the GNSO and other entities

 

Throughout the BGC report that began the GNSO improvements process,
there are several discrete points that point out shortcomings in
communication or participation, and point out times when information
needs to be provided in a faster, more accessible way.  Our work will be
focused on improving that situation.

I'd like to ask each of you to review the charter prior to our meeting.
As a first step in our discussion of agenda item (3) above, I'll come
prepared with a summary of issues to address, possible desired outcomes
and deliverables.  By no means is that meant to be final - it's merely a
starting point for the discussion.

 

Areas of focus

In preliminary discussions with others in the community, I understand
there are two immediate areas where part of our focus could be directed:

*       Website improvements for the GNSO and for ICANN broadly.  (This
could be a first focus as ICANN's site architect, David Conrad, is
gathering requirements for site improvements)
*       Translation - as the community broadens, translation is an issue
for many who want to contribute but may be limited by language.

Dear GNSO Work Team Volunteers,
 
Thank you for volunteering to participate on one of the GNSO Improvements 
Process OSC or PPSC Work Teams!

We are looking forward to the first in-person team meeting in Mexico City.  
Time will be tight and we want to ensure that all work teams can hit the ground 
running. To ensure that everyone has the background information they need to 
get started as productive work team members, we have prepared an overview 
briefing on the GNSO Improvements Process with an emphasis on how the Work Team 
efforts fit into that process.

We are offering two 1-hour teleconference briefings on Tuesday, February 24 at 
600 UTC and 1700 UTC.  (Note that this will be the same briefing being offered 
at two different times to accommodate various schedules around the World.) Each 
briefing will cover a number of topics outlined below and include time for 
questions and dialogue. Participation in the calls is purely voluntary and 
primarily intended for volunteers who are new to the GNSO Improvements process 
but all are welcome.

To help us plan the correct number of call-in lines for each briefing, please 
RSVP to me at robert.hoggarth@xxxxxxxxx, the GNSO Secretariat at 
gnso.secretariat@xxxxxxxxx and Julie Hedlund at jahedlund@xxxxxxxxxxx to let us 
know whether you would like to participate in either of the briefings. Prior to 
the sessions, we will send the briefing slides to all participants and also 
will link the slide deck on the GNSO Improvements web site (see 
http://gnso.icann.org/en/improvements/).  In addition, a recording of the two 
briefings also will be made available on the web site.  The call-in information 
for each call is the same and is set forth at the bottom of this message.
