Thank you for your e-mail and my apologies for taking some time to reply. We 
were investigating the situation and unfortunately faced with several deadlines 
today.



First, I would like to clarify that funding a webinar with interpreters was 
never issue and also that Glen is not at fault since I was the one who drafted 
the invitation text and gave set up instructions, which did not include a 
requirement for interpreters. I am the one to blame for this misunderstanding!

The webinar requirements were based on a series of e-mails exchanges between 
myself and the JAS WG Chairs and the interpretation issue was never raised 
during the planning. I suspect this is because of the time constrains and the 
fact that this webinar was originally planned for the chartering organizations 
to help expedite the understanding of the Report in the light of the short 
deadline for their consideration. The invitation was later extended to other 
SOs/ACs as a courtesy, an opportunity to get involved.



I believe part of the oversight is also due to the fact that a community 
session with interpreters and more elaborate set up is already being planned 
and worked on for Dakar. At that time, we also hope to have the Final Report in 
the five additional UN languages and an announcement inviting people to join 
the Dakar session, even if remotely.



I hope this helps to explain this misunderstanding. My apologies for any 
oversight from my side.



Now, here is the situation and I would like to ask our JAS WG chairs to weight 
on it as well and give me direction of what to do next.



Situation:

The current set up is with Verizon and NO interpretation options are available. 
Verizon was the best option due to the callers data for community members we 
already have in the system.



IF French and Spanish are required, we have to:

*             switch to Adigo

*             Confirm Interpreters availability

*             Set up AC Room with Adigo Audio (Tech support to assist with this 
ASAP) but this will only come through in English (IF Tech support is able to 
set this up i.e people don't have to dial into the bridge. They can hear the 
audio through their computers but obviously not able to participate/as 
questions).

*             Send out any presentations to Adigo ahead of time, as well as any 
other useful info, for interpreters to familiarize themselves with

*             On day of call - we would have  English, French and Spanish 
channels (3 different access codes).



Assuming we have interpreters availability, we would need to send a new 
invitation with REVISED dial-in information to all distribution lists. 
Unfortunately there are several that already RSVP and I have concerns that a 
change like this might confuse people.



Options:

1.            We would like to offer as an alternative to send to all 
Transcripts translated into French and Spanish along with the recording of the 
webinar and an invitation to the Dakar session where interpreters will be 
available.



2.            If you do not want to pursue alternative #1 as proposed, we will 
be happy to make all the changes listed above and resend the invitations.



I look forward to hearing from you and welcome other suggestion how to better 
address this situation.

Interpretation of my words, deploring the lack of interpretation, is not at all 
the interpretation I was looking for.



I have made my remark as a friendly nudge. Today's Tuesday 13 September 2011. 
The Webinar's Monday 19 September 2011. 6 days & 6 nights to explore the 
possibility of having interpretation on the call, that is, a French Channel & a 
Spanish Channel. At ALAC, this kind of this is business as usual, so my I 
suggest that Seth/Heidi speak to Glen & also Christina & see what can be done?

Christina's already pulling all the stops for ICANN to *translate* the document 
and this is very exciting for all of us. I am not suggesting a Spanish language 
webinar, neither a French language webinar: I am just suggesting simultaneous 
interpretation. Costs, compared to the new gTLD program are negligible.
